The Office of the Registrar is responsible for managing and safeguarding the official academic records of all Grade School students. It oversees the enrollment process for both new and continuing pupils, ensuring that all procedures are implemented accurately and efficiently. The office also maintains the integrity, confidentiality, and security of student and alumni records while providing reliable academic record services to the Grade School community.
Functions of the Office of the Registrar
- Admissions Management
- Processes in-person and online admissions for new students.
- Evaluates and verifies admission requirements.
- Enrollment Services
- Facilitates online and in-person enrollment of new and continuing students.
- Processes withdrawal of enrollment and transfer-out requests.
- Student Records Management
- Maintains and secures students’ permanent academic records (201 files).
- Ensures the confidentiality, accuracy, and integrity of all student and alumni records.
- Issuance of Academic Documents
- Processes requests for transcripts, certifications, certified true copies (CTC), report cards, and diplomas.
- Issue replacement diplomas when applicable.
- Academic Records and Grade Management
- Loads learning competencies into the grading system.
- Processes corrections of grades, competencies, and statistical data.
- Prints report cards and generates lists of honors.
- Learner Information System (LIS) Administration
- Updates learner enrollment in the DepEd Learner Information System.
- Enrolls new learners in the LIS.
- Processes LIS transfer confirmations and learner data updates.
- Student Information and Data Management
- Maintains student statistical records.
- Corrects erroneous entries in academic records.
- Provides academic and statistical reports for internal and external stakeholders.
- Student Information Updates
- Processes requests for name changes and other personal information updates.
- Processes requests for change of grade level when applicable.
- Academic System Administration
- Manages grade book operations and related academic databases.
- Assists users with Basic Education Portal password resets and other registrar-related system concerns.
- Compliance and Records Security
- Ensures compliance with University policies, DepEd regulations, and data privacy laws.
- Safeguards the confidentiality, security, and integrity of all academic records and official documents.
These functions collectively ensure the efficient management of admissions, enrollment, academic records, student information systems, and the issuance of official school documents while maintaining the highest standards of accuracy, confidentiality, and service.
